Before You Submit
- Submission of an abstract constitutes a commitment by the presenting author to present the work in person if the abstract is accepted. Online or hybrid presentations are not available.
- Be prepared to answer questions and discuss your work with conference attendees during both oral and poster presentations.
- Accept/Reject notifications will be sent only to the individual listed as the presenting author. It is the presenting author's responsibility to notify all co-authors of the submission status. Only one author may present an accepted abstract.
- Abstracts submitted to and accepted for the Northeast Epidemiology Conference may not be presented at another meeting or published prior to Friday, August 21, 2026.
Abstract Submission Requirements
- Abstracts should include the following four sections (except for Group Session proposals):
- Background
- Methods
- Results
- Discussion
- Abstract text is limited to 250 words or fewer, including the four section headings, but excluding the abstract title and author names.
Poster Presentation Guidelines
- If your abstract is accepted for a poster presentation, the presenting author is expected to stand by the poster for 30 minutes during the designated poster session. Your assigned presentation time will be included in your acceptance notification.
- Poster presentation materials must fit within a display area of 4 feet high × 8 feet wide (landscape orientation).
- Place the title of your poster at the top center of the display.
- Use sans serif fonts, such as Arial.
- Select font sizes that can be read easily from at least 3 feet away.
- Organize content from left to right and top to bottom. Use arrows, numbers, or letters to guide viewers when appropriate.
- Keep text concise and emphasize charts, graphs, photographs, and other visuals.
- Include your name and email address on the poster, or have business cards available for attendees requesting additional information.
- Pushpins will be provided. Glue, tape, and staples are not permitted.
Group Presentation Requirements
- Sessions are 90 minutes in length.
- Presenters must use one cohesive slide deck.
- Total presentation time should be at least 60 minutes but no more than 90 minutes, allowing time for audience questions.
- Ensure all authors contribute to the presentation.
Presenter Rules and Policies
- It is the policy of the New York State Department of Health to hold events where physical and communication barriers do not exclude people with disabilities from attending and participating.
- If your plans change and you are unable to present, you are responsible for arranging a qualified substitute presenter. Notify DOH.365.Epidemiology.Admin.Team@health.ny.gov immediately of the change.
- If a substitute presenter cannot be secured, notify DOH.365.Epidemiology.Admin.Team@health.ny.gov immediately and include your abstract title and author name(s) so the abstract can be withdrawn.
